How AplyBot handles your information

AplyBot ("we", "our", "us") is an AI-guided career and education platform operated by AplyBot Inc. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. By using AplyBot you agree to the practices described here.
1. Information We Collect
- Account information: When you create an account we collect your name, email address, and password (stored as a secure hash β we never store your plain-text password).
- Profile information: Information you voluntarily provide such as work experience, education, skills, career goals, and job preferences.
- Learning data: Your GED, SAT, and ACT practice session results, scores, question responses, weak skill areas, and progress history.
- Usage data: Pages visited, features used, session duration, and general interaction patterns to improve the platform.
- Device information: Browser type, operating system, and IP address for security and fraud prevention.
- Job interactions: Jobs you search for, save, or apply to through the AplyBot job board.
2. How We Use Your Information
- To provide and personalize the AplyBot experience including resume generation, cover letters, interview preparation, and classroom sessions.
- To track your learning progress and surface weak areas so TIA can guide you more effectively.
- To save your session history and scores to your dashboard so your progress is never lost.
- To improve our AI models, question banks, and platform features using anonymized, aggregated data.
- To send important account notifications such as password resets and plan updates (we do not send marketing emails without your consent).
- To maintain platform security, detect fraud, and comply with legal obligations.
3. AI-Generated Content
- AplyBot uses AI models including local Ollama models and OpenAI APIs to generate resumes, cover letters, interview questions, and tutoring content.
- Content you submit as input (such as your work history or essay drafts) may be processed by these AI services to generate outputs.
- We do not use your personal content to train AI models without your explicit consent.
- All AI-generated content should be reviewed by you before submission, sharing, or use in any application.
4. ChatGPT Integration
- AplyBot offers a GPT called 'Pass the GED with TIA' available in the ChatGPT GPT Store.
- When you use the TIA GPT, your session data (subject, answers, score, weak skills) is sent to our API at api.aplybot.ai and stored in your AplyBot account if you are logged in.
- Anonymous sessions are stored temporarily and purged after 24 hours.
- We do not share your session data with OpenAI beyond what is necessary to process your requests.
5. Data Sharing
- We do not sell your personal information to third parties. Ever.
- We do not share your data with advertisers.
- We may share anonymized, aggregated data (such as overall platform statistics) that cannot identify you.
- We use trusted service providers (such as cloud hosting and database services) who are contractually required to protect your data.
- We may disclose data if required by law, court order, or to protect the safety of users or the public.
6. Data Retention
- Account data is retained as long as your account is active.
- Learning session data and progress history are retained indefinitely so your progress is always available.
- If you delete your account all personal data is permanently removed within 30 days.
- Anonymous session data from the ChatGPT integration is purged after 24 hours.
7. Your Rights
- Access: You can view your stored data at any time through your dashboard.
- Correction: You can update your profile and account information at any time in Settings.
- Deletion: You can delete your account and all associated data by contacting us at privacy@aplybot.ai.
- Export: You can request a copy of your data by emailing privacy@aplybot.ai.
- Opt-out: You can opt out of non-essential communications at any time.
8. California Privacy Rights (CCPA)
- California residents have the right to know what personal information we collect, request deletion of their data, and opt out of the sale of personal information.
- We do not sell personal information. California residents may still submit requests to privacy@aplybot.ai.
9. Children Under 13 (COPPA)
- AplyBot is not directed to children under 13 years of age.
- We do not knowingly collect personal information from children under 13.
- If we discover we have collected data from a child under 13 we will delete it immediately.
- If you believe a child under 13 has provided us with information please contact privacy@aplybot.ai.
10. Security
- We use industry-standard security practices including encrypted passwords, HTTPS on all connections, and restricted access to databases.
- No system is 100% secure. We encourage you to use a strong unique password for your AplyBot account.
- If you suspect unauthorized access to your account contact us immediately at privacy@aplybot.ai.
11. Cookies
- AplyBot uses a session cookie (aply_token) to keep you logged in. This cookie is essential to the platform and cannot be disabled while using AplyBot.
- We do not use advertising cookies or third-party tracking cookies.
- We do not use Google Analytics or similar tracking services.
12. Changes to This Policy
- We may update this Privacy Policy as the platform grows. We will notify you of significant changes by email or by posting a notice on the platform.
- Continued use of AplyBot after changes are posted constitutes acceptance of the updated policy.
